A growing community business recently brought in Syncaroo to help implement, and automate, certain identity and background checks they needed to run for their members.
While not all coworking or flex space businesses need this level of compliance checking, those that do know how frustrating it can be to get things set things up, run correctly and be maintained.
In this piece we look at why spaces like these are not only automating the process, but are also making sure that the results make their way back into all the other tools used to run the business on a day-to-day basis.
What kinds of spaces need to run background checks?
Of course, not every coworking or flex space businesses need to run background checks on members, their employees and/or guests.
Most do not, but there are a few models or setups where these checks are critical for compliance.
While not an exhaustive list, some examples are:
- Shared bio- or high-tech laboratories and workspaces.
- Coworking spaces and incubators in/near schools or colleges.
- Flex spaces in high-security buildings, zones or regions.
- Shared warehouse and e-commerce logistics centers.
- Any niche space focussed on serving groups who require extra compliance around who has access to the space.
What usually happens?
Any operator that has had to explore adding identity checks into their workspace processes knows just how many tasks need to be done.
There’s solution selection, then process mapping and planning, and then there’s building SOPs for processing all the different results and outcomes.
And that doesn’t even include the actual process of running each and every check.
Often this includes requesting documents (or sending links to external platforms that collect them), then checking and re-checking for results, all while handling often-times impatient customers, and then still having someone enter the results into the CRM or member management system…
Honestly, it is a lot of repetitive tedious work.
But nobody runs checks, at these levels, because they really really want to.
So we were geekily delighted when we got brought in to help explore, plan, implement and monitor a solution that would unblock a number of critical team members, and make sure check statuses and results got into all the right places.
How we were able to help.
After helping the client make sense of the solutions available to them, we dove in to connect their chosen platform with their member management system (in this case Nexudus).
We then guided their front-of-house and ops teams in defining and refining the processes for both pre-checking prospective members, and for running ongoing checks on existing members.
This allowed the space to stay compliant, have oversight over who passed or failed certain requirements, and be able to seamlessly get members through a secure and privacy-focussed background and identity verification flow.
No jumping between systems for the operating team.
No insecure links sent to members.
No storing of sensitive documents at the space, or in their cloud.
Just a seamless and elegant process that keeps everyone informed, and the space in compliance.
